1. Our Role: Data Controller vs. Data Processor

   • SchoolViewers as a Data Processor: For the vast majority of the data on our platform (including student records, grades, parent contact information, and staff details), the subscribing School is the Data Controller. The School dictates what data is collected and how it is used. SchoolViewers acts solely as a Data Processor, storing and processing this data purely to provide the platform's features to the School.
   • SchoolViewers as a Data Controller: We act as a Data Controller for the account, billing, and direct support information of the School Administrators who sign up for our service.

2. Information We Collect

   We collect several categories of information to operate our services effectively:
   • Account & Billing Information: When a school registers, we collect the administrator's name, email address, phone number, school details, and payment/subscription capacity data.
   • School & Student Data: Information uploaded by the school, which may include student profiles, attendance records, academic performance, and parent contact details.
   • Automatically Collected Data: When you visit our website, we automatically collect data such as your IP address, browser type, operating system, device information, and browsing activity (pages viewed, time spent).
   • Communication Data: Information you provide when interacting with our support team via email, contact forms, or our live chat widget.

3. How We Use Your Information

   We use the collected data for the following purposes:
   • To provide, operate, and maintain the SchoolViewers platform.
   • To process subscription payments and calculate per-student billing limits.
   • To provide customer support and respond to inquiries.

4. Third-Party Service Providers and Integrations

   We employ trusted third-party services to facilitate our operations. These third parties have access to necessary personal data only to perform specific tasks on our behalf and are obligated not to disclose or use it for any other purpose:
   • Payment Processing (Flutterwave): We use Flutterwave to securely process subscription payments. We do not store your full credit card or bank account details on our servers. Financial data is securely passed directly to Flutterwave and is subject to Flutterwave's Privacy Notice.
   • Analytics (Google Analytics 4): We use Google Analytics to track and report website traffic. Google Analytics uses cookies to collect anonymous data about how users interact with our site, helping us optimize the platform.

Loading this iframe may securely log basic visitor data (like IP addresses). Note: Schools subscribed to the Professional plan have the administrative option to disable this widget.
   • Cloud Infrastructure: Our application and databases are securely hosted on enterprise-grade cloud servers (such as Amazon Web Services), which employ strict physical and digital security protocols.

5. Cookies and Tracking Technologies

   Our website uses cookies (small data files stored on your device) to maintain active user sessions, remember your preferences, and support third-party tools like Google Analytics and Tawk.to. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent; however, disabling core session cookies may prevent you from logging into the SchoolViewers dashboard.

6. Data Security

   We implement robust administrative, technical, and physical security measures to protect your personal information against unauthorized access, destruction, or alteration. While we strive to use commercially acceptable means to protect your data, no method of transmission over the Internet or electronic storage is 100% secure.

   • Active Accounts: We retain your account and school data for as long as your subscription is active.
   • Canceled Accounts: Upon subscription cancellation, your data enters a read-only grace period. After this period, all school, student, and parent data is permanently and irreversibly scheduled for deletion from our active servers.
   • We may retain certain billing and transactional records for a longer period as required by tax and accounting laws.

8. Children's Privacy

   Because SchoolViewers is a school management system, the platform processes data regarding children (students). The subscribing School is solely responsible for obtaining appropriate consent from parents or legal guardians before adding a student's personal information to the SchoolViewers platform. We do not use student data for any purpose other than providing the software service to the school. We never sell student data or use it for targeted advertising.

9. Your Data Protection Rights

   Depending on your jurisdiction, you have the right to request:
   • Access to the personal data we hold about you.
   • Correction of any inaccurate or incomplete data.
   • Deletion of your personal data.
   • A restriction on the processing of your data.
   Note for Parents and Students: If you wish to access, correct, or delete data stored on SchoolViewers, you must direct your request to the School Administrator, who acts as the Data Controller.

    We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. We will notify users of significant changes by posting the new policy on this page and updating the "Last Updated" date.
